Part I — Shipping, Handling & Submission Standards

Shipping Address

Include your full name and order email inside the package.

Packaging Requirements

Film must be immobilized, protected from bending, and shielded from abrasion.

Use a rigid corrugated box.
Do not use padded envelopes.
Prevent internal movement.
Film must not float freely inside the package.

Cut Negatives & Large Format Sheets

Keep negatives in archival sleeves.
Place sleeved negatives between rigid cardboard.
Tape cardboard to prevent shifting.
Ship flat. Do not bend or roll.

Uncut 35mm or 120 Rolls

Keep rolls in sleeves or original canisters.
Place inside a smaller internal container.
Cushion that container within the outer box.
Rolls must not press directly against outer walls of the package.

Transit Responsibility

You are responsible for proper packaging, carrier selection, and transit insurance.

pyxartis is not responsible for loss or damage occurring during transit to the studio.

Trackable and insured shipping is strongly recommended.

Climate Advisory

If shipping during extreme temperatures (below 20°F or above 90°F), consider expedited shipping to reduce exposure time.

Part II — Film Scanning Terms of Service

Scope of Services

pyxartis provides high-resolution digital imaging of photographic film and related materials. We do not provide restoration, repair, or chemical processing unless agreed in writing.

Condition of Materials

pyxartis is not responsible for pre-existing damage, scratching, fungus, exposure defects, color shifts, deterioration, or base degradation. Image recovery is limited to the physical condition of the original material.

Limitation of Liability

In the unlikely event of loss or damage while materials are in our possession, liability is limited to the lesser of:

The amount paid for the affected scanning services, or
$100 per roll or sheet.

pyxartis is not liable for emotional value, lost profits, commercial opportunity loss, or consequential damages.

Original film is inherently irreplaceable. Submission acknowledges this risk.

Turnaround Times

Turnaround begins once materials are received, opened, logged, and verified. Shipping time is separate from processing time. Estimated timelines are not guarantees.

File Delivery & Retention

Digital files are delivered via secure download link. Clients are responsible for downloading and backing up files. Files are archived for 14 days after delivery unless otherwise agreed.

Return Shipping

Original materials are returned using the shipping tier selected at checkout. Additional charges may apply if shipment volume exceeds the selected tier. Signature confirmation may be requested prior to return shipment.

Intellectual Property

Clients retain copyright ownership of submitted materials and confirm they have legal authority to reproduce them.

Refusal of Service

pyxartis reserves the right to decline materials that present contamination risk, mold beyond safe handling, biohazard concerns, or improper packaging. If refused, materials will be returned at client expense.

Part III — High-Value Film Addendum

This section applies to materials declared to exceed $2,500 in value or identified as institutional, archival, or commercially sensitive.

High-value materials must be declared prior to shipment.
Enhanced handling requires written confirmation.
Liability limits remain as stated above unless a separate written agreement is executed.
pyxartis does not provide custodial insurance unless separately contracted.
Clients are responsible for transit and fine-art insurance coverage.

Part I — Drop-Off Intake & Handling Standards

Appointment Requirement

Film drop-offs are by appointment only. pyxartis operates as a controlled imaging studio, not a retail storefront.

Intake Inspection

At drop-off, materials will be visually inspected and logged into our internal workflow.

pyxartis is not responsible for pre-existing damage, latent defects, deterioration, or issues not immediately visible at intake.

Custody During Processing

Film is stored in a temperature-stable, low-humidity environment.
Work surfaces are clean and static-controlled.
Film is handled by the edges only.
Gloves are worn when appropriate.
Negatives remain sleeved except during active scanning.

Food, liquids, and unrelated materials are not present in imaging areas.

Return Shipping Terms & Transit Responsibility

Preferred Carrier & Delivery Timeframes

Original materials are returned using USPS, which is pyxartis’ preferred carrier, under the return shipping tier selected at checkout.
Standard return shipments are typically delivered within 2–5 business days, subject to carrier performance, regional conditions, and service availability.

If expedited delivery, an alternative carrier, signature confirmation, or other delivery upgrades are desired, the client must contact pyxartis prior to return shipment. These services are not included by default and will be arranged only upon client request. Any associated costs will be billed to the client before shipment.

If shipment volume, weight, or declared contents exceed the selected return tier, additional charges may apply. Clients will be notified prior to release if adjustments are required.

Transfer of Responsibility

Once materials are tendered to the carrier and tracking information is issued, custody and responsibility for the shipment transfer to the carrier.

pyxartis is not responsible for loss, theft, delay, misdelivery, or damage occurring during return transit after carrier acceptance.
All transit-related claims must be pursued directly with the carrier in accordance with their policies.

Insurance Coverage

Unless otherwise stated in the order notes and confirmed in writing:

Return shipments are insured for $100 total per outbound shipment, not per roll, sheet, or individual item.
This amount reflects standard carrier coverage and does not represent the intrinsic, archival, or replacement value of the materials.

Requests for increased declared value coverage must be submitted prior to return shipment and are subject to carrier limitations, exclusions, and claim approval. Additional insurance costs will be billed to the client.

pyxartis does not provide fine-art, archival, or custodial insurance unless expressly contracted in writing.

Packaging for Return

pyxartis will use commercially reasonable protective packaging for return shipments based on the materials received and their condition at intake.

Packaging is intended to mitigate standard carrier handling risks but cannot eliminate all transit exposure. Clients acknowledge the inherently fragile and irreplaceable nature of photographic film.

Delays & Carrier Performance

Estimated delivery timelines are provided by the carrier and are not guaranteed.

pyxartis is not responsible for delays caused by weather events, mechanical failures, routing errors, labor disruptions, or force majeure circumstances.

Address Accuracy

Clients are responsible for providing complete, accurate, and deliverable return shipping information.

pyxartis is not responsible for loss, delay, or additional costs resulting from incorrect or incomplete address information.

Returned Shipments & Unclaimed Materials

If a return shipment is undeliverable or is returned to pyxartis for any reason (including incorrect address information or failure to accept delivery), we will contact the client using the email address associated with the order to coordinate next steps.

Returned materials will be held for up to thirty (30) calendar days from the date we receive them back. During this time, the client may arrange reshipment or provide alternative instructions. Any additional shipping costs will be the responsibility of the client.

If we are unable to reach the client or do not receive instructions within the 30-day holding period, the materials will be considered unclaimed. At that point, pyxartis may destroy or dispose of the materials in a commercially reasonable manner and will have no further obligation to store or return them.
